We are currently searching for a highly motivated Executive Secretary I, who will be responsible for providing support for the SVP and head of Global Marketing & North America Sales and provide support for the Princess Marketing team. and special projects to achieve maximum efficiency and meet department and company objectives.

Responsibilities

  • Possesses sufficient skills and knowledge to perform job-specific duties to the required standard. Includes knowledge of Microsoft Word, PowerPoint, Outlook, Skype, and other tools to support the SVP and team.

  • Consistently meets productivity requirements for job specific duties given time availability. Given the global nature of this position, candidate should have experience managing a global calendar of meetings.

  • Answers phones, checks e-mails and voicemail, and relays or responds to messages promptly and professionally.

  • Adheres to established priorities to complete work by given deadlines.

  • Monitors progress on departmental projects; assists to facilitate the timely and successful completion of the project.

  • Assist with employee timekeeping, and invoice processing.

  • Help prepare presentations and assigned status reports.

  • Assist with Invoice coding and the managing / coding of appropriate credit card transactions for marketing leadership team.

  • Commits to continuously improving job performance; actively seeks opportunities for growth and accepts constructive criticism.

  • Contributes to a positive work environment by exemplifying The Consummate Host principle.

  • Ensures compliance with all legal and legislative regulations that pertain to the job, including Company and department-specific policies.

  • Arrange travel and complete expense reports.

Requirements

  • 5 to 7 years’ experience in a secretarial role preferably supporting senior level management.

  • Associates degree, completion of a technical or trade school or equivalent combination of education, training and experience required.

  • Ability to prioritize and manage multiple tasks simultaneously to meet deadlines.

  • Ability to maintain high levels of confidentiality, accuracy and attention to detail.

  • Strong written and verbal communication skills.

  • Proficient in the use of MS Office (intermediate to advance proficiency on Outlook, and PowerPoint. Basic to Intermediate proficiency on Word and Excel).
